Guidelines for Preparation of Oral and Poster Presentations


Oral Presentations

Contributed oral slots are strictly 15 min including presentation, discussion/questions and speaker change – typically 10 min presentation + 4-5 min discussion (invited lectures: 30 min = 25 min presentation + 5 min discussion).

Recommendations for slide preparation and file formats

Important! Videoprojection of presentations/slides at the conference center Le Corum, is operated through an integrated system that does not allow the connection of speakers’ personnal computers. Instead you will be required to upload your presentation file(s) in the system at latest the day before your session.

Accepted file formats: PPT, PPTX (Microsoft PowerPoint), PDF (Adobe Reader), files will be read on an MS-Windows platform. For MS PowerPoint 2007/2010 users: the PPTX format is natively recognized (PowerPoint 2010 used): no need to convert your file into PPT (97-2003) format.

Embedded / attached / related media:
– Prefer standard image (JPG, BMP, GIF) and video (WMV) formats (use of a standard codec for videos);
– Avoid other media formats (as well as ‘exotic’ fonts);
– Attached/related media (e.g. videos) not included in the presentation file, must be located in the same folder as the parent file (use relative file location for links).

For Macintosh users. Macintosh formats (e.g. Apple Keynote) are not supported by the system. Your presentation file(s) must be fully compatible with MS-Windows environment, especially all included/attached images and movies. Do not use Mac OS specific formats PICT (image) or MOV (movie), and stick to standard JPG, BMP, GIF, WMV formats. Be careful with vector graphics (e.g. chemical structures) generated by specific softwares. Check your presentation under Windows.

Uploading your file(s). File(s) can be uploaded on location to the conference center system by means of CD-ROM or USB flash drive. Alternately, files can be uploaded on a dedicated web platform (address and instructions to be found in your ConfTool account under your oral/lecture presentation ID). Files must be uploaded at latest the day before your session.

Checking your files for the Conference software environment. The speaker-dedicated computer room at the Conference center allows you to check/convert your presentation files, technical assistance will be available on location. Please check before your session!


Poster Presentations

Posters must be printed typically in A0 vertical format: height 119 cm x width 84 cm (maximum size accepted by poster exhibition boards: height 120 cm x width 96 cm). To facilitate exchanges with other conference participants, a photograph ot the presenting author should be inserted in the poster, preferentially at top-right position.

Posters are expected to be exhibited during the whole conference, from Monday, July 4th (morning coffee break) to Friday, July 8th afternoon (exhibition hall unavailable on Sunday, July 3rd). The exhibition hall will be accessible during all coffee/lunch breaks. Please respect the board number assigned to your poster (to be consulted there). Presenting Authors are requested to be present at their respective poster session (see detailed schedule).

Important! Poster boards at Le Corum exclusively accommodate Velcro® for hanging material. Appropriate adhesive Velcro® stickers will be available at the registration desk and/or in the exhibition hall. Metallic clips/pins/nails/stapples, as well as glue or Scotch tape, are not allowed.
